Switching from pre-paid into post-paid

If you use the pre-paid payment method, you can easily switch to the post-paid method and enjoy the fits of deferred payments.

Advantages of the post-paid system:

  • Deferred payments – after receiving your invoices
  • No risk of penalties
  • No need to charge a pre-paid account
  • No responsibility on the part of a driver
  • Road tolls expenditures can easily be controlled online

The post-paid option is offered by fuel card operators, for example DKV. After a balance of viaTOLL charges is calculated, which happens twice a month, the operator issues an invoice.

Please note: Customers registering for the post-paid method with DKV are not required to provide any financial security.

How to switch from pre-paid into post-paid

Switching to post-paid payment system does not affect vehicle route schedules. You only need to replace the old viaBOX with a new one. Before replacing old viaBox with new one customer must send post pay registration documents to DKV to register for Post Payment.

After collecting the new device operating in the post-paid system from a contact or border distribution point, mount it where the old one was installed. The old device should be returned at a contact point and new post pay  OBU can be picked up on site. upon termination of the pre-paid contract. When the formalities are completed, any unused balance of the pre-paid account, and the deposit for the device will be reimbursed.

If you are not a DKV customer

Become a DKV customer, it’s free!

  • Send all registration documents at DKV’s address
  • Upon registering as a user of the post-paid system via DKV, you will receive a viaBOX device by post or collect it at a contact or border distribution point
  • Replace devices operating in the pre-paid system with the new post-paid viaBOXes in your vehicles
  • Return pre-paid devices at a contact point and terminate the contract on site

To register in the system, new DKV customers must present the following documents:

It’s important to write in the form that you are interested only in road toll electronic payment processing services in Poland.

Polish and German version of the document:

  • General Commercial Terms (in Polish)
  • General Commercial Terms (in German)

Financial documents:

  • Agreement with DKV – two copies needed!
  • Direct payment authorisation form

Also, please send the following documents:

  • Extract of your company’s entry to the National Court Register (KRS) or the Business Activity Register (EDG)
  • Personal identity document or the passport of the company’s owner
  • Registration card of each vehicle
  • Document certifying the EURO emission class for each vehicle
  • Tax Identification Number (NIP) certificate
  • Business Statistical Number (REGON) certificate
  • Contract for your company’s bank account
  • System registration documents
  • Post-paid system user’s contract (original)
  • List of vehicles to be equipped with viaBOX devices (original)
  • Power of attorney*

*Please note: a power of attorney is only required if the documents necessary to obtain a viaBOX at a contact or border distribution point are to be signed by a person other than an authorised company’s representative disclosed in the National Court Register or the Business Activity Register.

Order processing procedure

Upon receiving the application documents, DKV will immediately enter particulars of the new user to the system. The user’s account will be debited with a deposit of PLN 120 for each device (the deposit and road tolls are VAT-exempted).

Delivery time of devices depends on the selected delivery option:

  • Courier delivery (only if we don’t have any viaBOX): about two weeks
  • Personal receipt at a contact or border distribution point: approx. 3 days (from the moment the customer data are entered into the system)

Ordering additional viaBOXes and replacement

To order additional viaBOX devices you can either:

  • Send back the vehicle list (please sign each page). The application to change does not have to be filled out and sent back to DKV or
  • Fill out and sign the application to change. The vehicle lists do not have to be signed. This is of particular interest to customers who would like to make changes to the registration of many vehicles.

Additionally please send the following documents:

  • per vehicle one copy of the vehicle certificate
  • proof of the emission class if this is not indicated in the vehicle certificate (z.B. CEMT license), if your company has one

If you are a DKV customer

Prepare the following documents:

Post-paid system user’s contract

List of vehicles to be equipped with viaBOX devices

Power of attorney*

*A power of attorney is only required if the documents necessary to obtain a viaBOX at a customer service point are to be signed by a person other than an authorised company’s representative disclosed in the National Court Register or the Business Activity Register.

Please append copies of the following documents:

  • Extract of your company’s entry to the National Court Register (KRS) or the Business Activity Register (EDG)
  • Personal identity document of the passport
  • Registration card of each vehicle
  • Document certifying the Euro emission class for each vehicle, if your company has such a document
  • If you don’t have a Euro emission class certificate or an emission class is not recorded in a vehicle’s registration card, the class will be assessed on the basis of the vehicle’s manufacturing year.

Sign and send completed documents to:

Upon receiving a notification of the transfer to the post-paid system, you may visit a Customer Service Point to return pre-paid viaBOXes and collect post-paid devices.

Please note: Don’t forget to activate the post-paid service before you start your journey!
